Using Microsoft Word to create citations and bibliographies

There is a tool in Microsoft Word which can be used for creating citations and bibliographies or reference lists.  You can add details of your sources of information and then format these details into citations and a reference list in a style you choose.

Installing Harvard-SHU 2014 on your APPLE MAC

Office 2011

The files required for the Harvard-SHU 2014 style on an Apple Mac with Office 2011 are below, along with instructions for how to install them.  We have not been able to test this on every version of the Mac Operating System and  therefore cannot guarantee that they will work on every setup.

Office 2016

Custom styles (including Harvard-SHU 2014) do not work with Microsoft Office 2016 for Apple Mac.  Adding custom styles causes Word to keep reactivating (crashing).  Please do not install the Harvard-SHU style if you have Office 2016. 

Making changes to the Style folder within the Word application package, will cause it to crash.  This is because of a security mechanism built into the application.  We are waiting on a solution from Microsoft, but this may be some time and as this is not something we can resolve locally, we are unable to give a timeframe in which this will be resolved. 

Please contact the library for details of alternative referencing tools you can use.  You may also wish to consider using Office 2011 instead.  Please contact us for more details.

Checking the installation of Harvard-SHU has worked - APPLE MAC

  • Open a new Microsoft Word document
  • Click on the Document elements tab
  • In the "References" group, click on the drop down menu next to "Style"
  • Check that "Harvard-SHU 2014" is one of the options and select this option
  • In the "References" group, click on Manage
  • At the bottom of the "Citations" box which appears, choose the plus button
  • In the "Create New Source" window which then opens, have a look at the drop down menu options next to "Type of Source"
  • Check that you have the option to create source types Electronic book and Electronic journal article

"Document from a web site" in the Harvard-SHU 2014 style

Please note that it is not necessary to complete the "Month" and "Day" fields in the "Document from a web site"  source type when using Harvard-SHU 2014.  This information is not necessary in this type of reference and will result in an unnecesary "Last accessed" statement appearing in your reference.  We intend to correct the style, but in the meantime the solution is to leave these fields empty.

You should always check that your citations and bibliography are in line with the appropriate referencing guidance. 

Harvard-SHU 2014 style for Microsoft Word

Harvard referencing is widely used at SHU.   However, the Harvard referencing style which comes with Word does not exactly match the Harvard style recommended at SHU. We have therefore created a Harvard-SHU style for Word.

Harvard-SHU 2014

This was created for academic year 2014/2015 and is the current version for 2015/2016.   It is different from previous versions in the way that electronic resources are referenced. 

The Harvard-SHU 2014 style is available on university PCs. Unfortunately it is not available on the university's Apple Macs, but we hope to develop this in the future.

The Harvard-SHU 2014  style can be downloaded for use on your own PC if you have Word 2007, 2010 or 2013.  It is also possible to  install it on your own Mac for use with Office 2011 but not Office 2016 (see below for more information).

Installing the Harvard-SHU 2014 style on your own computer

Please see the information below to install the Harvard-SHU 2014 style

  1. Look at the appropriate information for a Windows PC or an Apple Mac
     
  2. You will need to know which version of Microsoft Office you have installed and use the installation options for that version
     
  3. Once you have installed the Harvard-SHU 2014 style, please check the installation has worked (see below for how to do this)

Installing Harvard-SHU 2014 on your own WINDOWS PC

If you have Microsoft Word 2007, 2010 or 2013, you can install the Harvard-SHU 2014 style using the links below.  Depending on your system you may need to try both of the links for the version of Office that you have.

Word 2007

Word 2010

The Harvard-SHU installation for Word 2010 will not work on your own computer or laptop if you are using the click-to-run version of Microsoft Office 2010.  Programs delivered via click-to-run execute in a virtual application environment and many add-ins will not function with this version.

It is possible to replace the click-to-run version of Word if you have your product key. See the Microsoft instructions.  Making changes to your computer or laptop is at your own risk.  If you are not sure if you have the click-to-run version of Office 2010, look at your Office14 folder (C:\Program Files\Microsoft Office\Office14 or C:\Program Files (x86)\Microsoft Office\Office 14). If neither of these contains a winword.exe file you probably have the click to run version.

Word 2013

Word 2013 as part of Office 365

If you installed Word 2013 as part of Office 365, you will find that the above links do not work.  Please see below for how to install the Harvard-SHU style

Installing Harvard-SHU for Word 2013 (Office 365) - WINDOWS PC

If you have tried both of the options for installing Harvard-SHU 2014 on your computer for Word 2013 or as part of Office 365 and the style isn't appearing in Word, the document attached explains a possible way of making this work.

Please not that the abcref tool described in the user guide above is not included when you install Harvard-SHU 2014 in this way.
