Importing into RefWorks from a database

After running a search in a database, you may want to transfer the details of the sources you have found into RefWorks, to keep track of references you are planning to read, filter, and/or cite. This page provides information on how to transfer reference details into RefWorks from a wide range of databases offered by SHU. The process for exporting/importing references from a database to RefWorks will vary depending on the database platform.

Database platforms

Some databases are accessed through larger database platforms, such as EBSCOhost or ProQuest. The process for exporting references to RefWorks is the same for different databases that are hosted on the same platform. For example, Business Source Premier, CINAHL, and ERIC are all accessed in EBSCOhost, so you would follow the same process to transfer reference information from these databases into RefWorks.

If you are not sure which platform the database you are accessing uses, you can check the list of databases and platforms at the bottom of this page, read the database URL (which might contain web-p-ebscohost-com or proquest.com), or look for one of these logos in the top left-hand corner of the database:

If you are using a database hosted in EBSCOhost or ProQuest, you should follow the instructions under the heading for that platform:

To import selected items from an EBSCOhost database into RefWorks:
  1. After running a search in an EBSCOhost database, add the relevant items to the folder by clicking the blue folder symbol to the right of each item.
  2. The symbol will change to a yellow folder to show the item has been added.
  3. Click Folder View in the panel that has appeared on the right, or click Folder in the menu banner along the top of the database.
  4. Select the items you want to import into RefWorks using the tick box to the left of each item. (If you wish to export all the items in your folder, you can skip this step.)
  5. Click Export in the panel on the right.
  6. Choose Direct export to RefWorks.
  7. Click Save.
  8. RefWorks will open in a new tab. Choose whether to assign to a folder and click Import.
  9. Click Last Imported in the left-hand panel to see your references.

Please note: Items added to your folder in EBSCOhost will not be saved after the end of your searching session, unless you are logged into a MyEBSCO account.

If you wish to export all your search results to RefWorks at once, you can use this alternative option:
  1. When viewing your list of search results in an EBSCOhost database, click Share at the top right of the results list.
  2. Click Email a link to download exported results.
  3. Select the file format as RIS Format (e.g. CITAVI, EasyBib, EndNote, ProCite, Reference Manager, Zotero).
  4. Enter your email address in the Email to box and click Send.
  5. After a few minutes, you will receive a zipped copy of the file by email.
  6. Extract the .zip file.
  7. Open RefWorks on your browser.
  8. Click the plus symbol (Add) in the banner menu along the top of RefWorks.
  9. Select Import References.
  10. Upload the file you extracted, which will be in .ris format.
  11. Under ‘This file will be imported as:’, select RIS Format: RIS Format.
  12. Click Import.
  13. Choose whether to assign to a folder, and click Import.

Be aware that importing a large file into RefWorks may take a long time and can fail if the file is too large.

To import selected items from an ProQuest database into RefWorks:
  1. After running a search in a ProQuest Database, select the references you want to import, using the tick box to the left of each required item.
  2. Click on the quotation mark symbol (Cite) at the top of the list of results.
  3. In the options at the bottom of the pop-up box, click RW RefWorks.
  4. In the Export/Save pop-up box, make sure Output to: RefWorks is selected.
  5. Choose how detailed you want the information exported into RefWorks to be (‘Citation, abstract, indexing’ or ‘Citation & Abstract Only’).
  6. Important: DO NOT tick "Deselect items when done", as this can cause issues with the exporting process.
  7. Click Continue.
  8. You will be redirected to RefWorks in another tab. You may have to login with your RefWorks account, then click Import.
  9. You can choose a folder for your references to be imported into, or they will be available in Not in Folder.
If you wish to export all your search results to RefWorks at once, you can use this alternative option:
  1. Create or sign into a ProQuest My Research Account by clicking on the symbol of a person in the top right corner.
  2. After running a search in a ProQuest database, click the Export Results link at the top of the search results.
  3. In the ‘Export Results’ window, select the format as RIS.
  4. Select whether to include abstracts or not.
  5. Click Accept.
  6. Click on the person symbol in the top right corner (My Research), then select Saved searches.
  7. The search you just prepared to export will appear in your list of Saved searches. It may take several minutes for the results to be processed.
  8. Click the Export Results link next to the relevant search details.
  9. Navigate to the folder on your computer where you want to save the file, then click Save.
  10. Open RefWorks on your browser.
  11. Click the plus symbol (Add) in the banner menu along the top of RefWorks.
  12. Select Import References.
  13. Upload the file you downloaded from ProQuest, which will be in .ris format.
  14. Under ‘This file will be imported as:’, select RIS Format: RIS Format.
  15. Click Import.
  16. Choose whether to assign to a folder, and click Import.

Be aware that importing a large file into RefWorks may take a long time and can fail if the file is too large.

For databases that are not hosted on one of these main two platforms, the instructions for exporting to RefWorks will be listed below in the instructions list box under the name of the specific database.

Importing into RefWorks from different databases: Instructions list

Instructions for importing into RefWorks from different databases can be found in the alphabetical list below. Click on the name of a database to view the relevant instructions.

In ACM Digital Library:
  1. From your search results, select the items you want to import using the tick box to the left of each item.
  2. Click Export Citations at the top of the results list. (On smaller screens, this may show just as a symbol of a diagonal arrow in a box.)
  3. In the Export Citations pop-up, select BibTeX.
  4. Click the downwards arrow at the bottom right of the window to download the citations onto your device.
Then open RefWorks:
  1. Click the plus symbol (Add) in the banner menu along the top of RefWorks.
  2. Select Import References.
  3. Upload the file you downloaded from ACM, which will be in .bib format.
  4. In the Import References window, search for BibTeX and select it.
  5. Under ‘This file will be imported as:’, select ACM Digital Library (BibTeX format).
  6. Click Import.
  7. Choose whether to assign to a folder, and click Import.
  8. Click Last Imported in the left-hand panel to see your references.
In Bibliography of British and Irish History (BBIH):
  1. After running your search in BBIH, select the items you want to import by clicking '+ Add to Selection' underneath each item.
  2. Click Export Selection at the top right of the results list.
  3. Select the Method of export: Download.
  4. Select the Format: .txt - Refworks Tagged Format.
  5. Change the file name of the download if you wish.
  6. Click Export.
  7. Navigate to the folder on your computer where you want to save the file, then click Save.
Then open RefWorks:
  1. Click the plus symbol (Add) in the banner menu along the top of RefWorks.
  2. Select Import References.
  3. Upload the file you downloaded from BBIH, which will be in .txt format.
  4. The 'Import References' window should say 'This file will be imported as: RefWorks Tagged Format'.
  5. Click Import.
  6. Choose whether to assign to a folder, and click Import.
  7. Click Last Imported in the left-hand panel to see your references.

Please note: Some items from BBIH may not import sufficient information to create a reference. As ever, make sure to quality check your references and add in any missing information.

BioMed Central does not currently have an option for exporting multiple sources to RefWorks at once. However, you can export one reference at a time using the method below.

In Biomed Central:
  1. Click on the item you want to export to get the full record.
  2. Click on the Cite this article link underneath the article title.
  3. Click Download citation.
  4. Navigate to the folder on your computer where you want to save the file, then click Save.
Then open RefWorks:
  1. Click the plus symbol (Add) in the banner menu along the top of RefWorks.
  2. Select Import References.
  3. Upload the file you downloaded from BioMed Central, which will be in .ris format.
  4. Under 'This file will be imported as:', select RIS Format: RIS Format.
  5. Click Import.
  6. Choose whether to assign to a folder, and click Import.
  7. Click Last Imported in the left-hand panel to see your references.

BMJ Journals does not currently have an option for exporting multiple sources to RefWorks at once. However, you can export one reference at a time using the method below.

In BMJ Journals:
  1. Click on the item you want to export to view the full record.
  2. Click on the Citation Tools tab (represented by a thumbs up symbol).
  3. Select RefWorks Tagged.
  4. Navigate to the folder on your computer where you want to save the file, then click Save.
Then open RefWorks:
  1. Click the plus symbol (Add) in the banner menu along the top of RefWorks.
  2. Select Import References.
  3. Upload the file you downloaded from BMJ Journals, which will be in .txt format.
  4. The 'Import References' window should say 'This file will be imported as: RefWorks Tagged Format'.
  5. Click Import.
  6. Choose whether to assign to a folder, and click Import.
  7. Click Last Imported in the left-hand panel to see your references.

Please note: Details of the article will be directly exported into RefWorks. However, sometimes only a very basic, incomplete reference is exported so please check and edit as appropriate. You may get better references by exporting them from PubMed.

In Cochrane Library:
  1. After running your search, select the items you want to import using the tick box to the left of each item.
  2. Click Export selected citations at the top of the results list.
  3. In the pop-up window, select RIS (Endnote), then click Download.
  4. Navigate to the folder on your computer where you want to save the file, then click Save.
Then open RefWorks:
  1. Click the plus symbol (Add) in the banner menu along the top of RefWorks.
  2. Select Import References.
  3. Upload the file you downloaded from Cochrane, which will be in .ris format.
  4. Under ‘This file will be imported as:’, select RIS Format: RIS Format.
  5. Click Import.
  6. Choose whether to assign to a folder, and click Import.
  7. Click Last Imported in the left-hand panel to see your references.

Please note: SHULinks does not work with Cochrane so you will not be able to automatically link from your RefWorks database to the full text of the articles. To see the full text, you must return to Cochrane.

These instructions apply to all databases on the EBSCOhost platform, including: Art Full Text (H.W. Wilson); British Education Index; Business Source Premier; Child Development & Adolescent Studies; CINAHL Complete; Communication Abstracts; Criminal Justice Abstracts; EBSCOhost eBook Collection; Education Abstracts (H.W. Wilson); Educational Administration Abstracts; ERIC; GreenFILE; Historical Abstracts; Hospitality & Tourism Complete; Library, Information Science & Technology Abstracts; MEDLINE; MLA Directory of Periodicals; MLA International Bibliography; Regional Business News; SPORTDiscus; and Teacher Reference Center.

To import selected items from an EBSCOhost database into RefWorks:
  1. After running a search in an EBSCOhost database, add the relevant items to the folder by clicking the blue folder symbol to the right of each item.

In Emerald:
  1. After running a search in Emerald (including Emerald insight or Emerald Emerging Markets Case Studies Archive), select the references you want to import, using the tick box to the left of each required item.
  2. Click Citations: download RIS at the top of the results list.
  3. Navigate to the folder on your computer where you want to save the file, then click Save.
Then open RefWorks:
  1. Click the plus symbol (Add) in the banner menu along the top of RefWorks.
  2. Select Import References.
  3. Upload the file you downloaded from Emerald, which will be in .ris format.
  4. Under ‘This file will be imported as:’, select Emerald.
  5. Click Import.
  6. Choose whether to assign to a folder, and click Import.
  7. Click Last Imported in the left-hand panel to see your references.

Please note: Author information may be missing from Emerald references in RefWorks. Make sure to add this information if needed.

  1. In Google Scholar, click on the three-line menu in the top left corner.
  2. Click on Settings.
  3. In the Bibliography manager section at the bottom of the screen, select 'Show links to import citations into:'.
  4. Select RefWorks from the drop-down menu.
  5. Click Save.
  6. When you do a search, you should now see an Import into RefWorks link below each item in your results list. Click this link to import an item into RefWorks.
  7. When you click this link, RefWorks will open in a new tab. Choose whether to assign to a folder and click Import.
  1. After running a search in an Ovid database, select the references you want to import, using the tick box to the left of each required item.
  2. Click Export at the top right of the results list.
  3. An 'Export Citation(s)' panel will open.
  4. In the Format drop down menu, select RefWorks.
  5. Select Complete Reference in the Fields section.
  6. Click Export.
  7. RefWorks will open in a pop-up window. Choose whether to assign to a folder, then click Import.
  8. Click Last Imported in the left-hand panel to see your references.
  1. After running a search in JSTOR, select the references you want to import, using the tick box to the left of each required item.
  2. Click the red Cite button at the top of the results list.
  3. Select Export to RefWorks.
  4. RefWorks will open in a new tab. Choose whether to assign to a folder and click Import.
  5. Click Last Imported in the left-hand panel to see your references.

Note: This method may not work effectively for images found in JSTOR.

To import individual references from your Library Search results screen:
  1. Click on the quotation mark symbol to the right of the item.
  2. Select RW RefWorks from the options that appear underneath.
  3. This will open RefWorks in another tab.
  4. You may have to login with your RefWorks account, then click Import.
  5. You can choose a folder for your references to be imported into, or they will be available in Not in Folder.
To add multiple references from Library Search into RefWorks at once:
  1. Select multiple items using the tickbox to the left of each required item.
  2. Click the three dots in the banner at the top of your results list.
  3. Click the RW RefWorks button.
  1. After running a search in Maternity and Infant Care, select the references you want to import, using the tick box to the left of each required item.
  2. Click Export at the top right of the results list.
  3. An 'Export Citation(s)' panel will open.
  4. In the Format drop down menu, select RefWorks.
  5. Select Complete Reference in the Fields section.
  6. Click Export.
  7. RefWorks will open in a pop-up window. Choose whether to assign to a folder, then click Import.
  8. Click Last Imported in the left-hand panel to see your references.
  • Although Nexis does have a tool which produces an RIS file that can be imported into RefWorks, this tool tends to lead to incomplete and inaccurate references.
  • We would recommend adding sources from Nexis into RefWorks manually instead, by clicking the plus symbol (Add) in the banner menu along the top of RefWorks and then selecting Create reference manually.
  • Make sure to select the correct Ref type (e.g. Newspaper Article) and enter all the required details.
In PROLA:
  1. Choose to view the full details of an article of interest by clicking on the title link.
  2. Click Export Citation.
  3. Select EndNote (RIS).
  4. Highlight the record.
  5. Use Ctrl+C to copy the record.
  6. Open a new document in Word or in your computer’s Notepad app.
  7. Use Ctrl+V to paste the record into the document.
  8. Repeat the steps above to copy and paste in the details of any other relevant articles.
  9. Save the document to your device as a Plain Text file (.txt).
Then open RefWorks:
  1. Click the plus symbol (Add) in the banner menu along the top of RefWorks.
  2. Select Import References.
  3. Upload the .txt file you have created with the article details in.
  4. Under ‘This file will be imported as:’, select RIS Format: RIS Format.
  5. Click Import.
  6. Choose whether to assign to a folder, and click Import.
  7. Click Last Imported in the left-hand panel to see your references.
To import selected items from an ProQuest database into RefWorks:
  1. After running a search in a ProQuest Database, select the references you want to import, using the tick box to the left of each required item.
  2. Click on the quotation mark symbol (Cite) at the top of the list of results.
  3. In the options at the bottom of the pop-up box, click RW RefWorks.
  4. In the Export/Save pop-up box, make sure Output to: RefWorks is selected.
  5. Choose how detailed you want the information exported into RefWorks to be (‘Citation, abstract, indexing’ or ‘Citation & Abstract Only’).

  1. After running a search in UK Parliamentary Papers (ProQuest), select the references you want to import, using the tick box to the left of each required item.
  2. Click Save at the top right of the results list.
  3. Select RefWorks.
  4. You will be redirected to RefWorks in another tab. You may have to login with your RefWorks account, then click Import.
  5. You can choose a folder for your references to be imported into, or they will be available in Not in Folder.
In PubMed:
  1. After running a search in PubMed, select the references you want to import, using the tick box to the left of each required item.
  2. Click Send to at the top of the results list, then select Citation manager.
  3. Click Create File.
  4. Navigate to the folder on your computer where you want to save the file, then click Save.
Then open RefWorks:
  1. Click the plus symbol (Add) in the banner menu along the top of RefWorks.
  2. Select Import References.
  3. Upload the file you downloaded from PubMed, which will be in .nbib format.
  4. Click Import.
  5. Choose whether to assign to a folder, and click Import.
  6. Click Last Imported in the left-hand panel to see your references.

Royal Society of Chemistry Journals Online does not currently have an option for exporting multiple sources to RefWorks at once. However, you can export one reference at a time using the method below.

In Royal Society of Chemistry Journals Online:
  1. Click on the item you want to export to get the full record.
  2. In the panel on the right hand side, change the ‘Citation’ dropdown to RefWorks and click Go.
  3. Navigate to the folder on your computer where you want to save the file, then click Save.
Then open RefWorks:
  1. Click the plus symbol (Add) in the banner menu along the top of RefWorks.
  2. Select Import References.
  3. Upload the file you downloaded from Royal Society of Chemistry Journals Online, which will be in .ris format.
  4. Under ‘This file will be imported as:’, select RIS Format: RIS Format.
  5. Click Import.
  6. Choose whether to assign to a folder, and click Import.
  7. Click Last Imported in the left-hand panel to see your references.
In Sage Journals Online:
  1. After running a search in Sage Journals Online, select the references you want to import, using the tick box to the left of each required item.
  2. Click Export selected citations at the top of the results list.
  3. In the ‘Export citation’ pop-up box, select RIS (ProCite, Reference Manager).
  4. Click Download Citation at the bottom of the box.
  5. Navigate to the folder on your computer where you want to save the file, then click Save.
Then open RefWorks:
  1. Click the plus symbol (Add) in the banner menu along the top of RefWorks.
  2. Select Import References.
  3. Upload the file you downloaded from Sage Journals Online, which will be in .ris format.
  4. Under ‘This file will be imported as:’, select RIS Format: RIS Format.
  5. Click Import.
  6. Choose whether to assign to a folder, and click Import.
  7. Click Last Imported in the left-hand panel to see your references.
  1. After running a search in ScienceDirect, select the references you want to import, using the tick box to the left of each required item.
  2. Click Export at the top of the results list.
  3. Select Save to RefWorks.
  4. RefWorks will open in a new tab. Choose whether to assign to a folder and click Import.
  5. Click Last Imported in the left-hand panel to see your references.
In SCOPUS:
  1. After running a search in SCOPUS, select the references you want to import, using the tick box to the left of each required item.
  2. Click Export at the top of the results list..
  3. Select Refworks (RIS).
  4. In the ‘Export 3 documents to Refworks as a RIS file’ pop-up window, leave all the Citation information ticked. If you want to save the reference abstracts to RefWorks, select the tick box for Abstract.
  5. Click Export at the bottom right of the window.
  6. Navigate to the folder on your computer where you want to save the file, then click Save.
Then open RefWorks:
  1. Click the plus symbol (Add) in the banner menu along the top of RefWorks.
  2. Select Import References.
  3. Upload the file you downloaded from SCOPUS, which will be in .ris format.
  4. Under ‘This file will be imported as:’, select RIS Format: Scopus.
  5. Click Import.
  6. Choose whether to assign to a folder, and click Import.
  7. Click Last Imported in the left-hand panel to see your references.

SpringerLink does not currently have an option for exporting multiple sources to RefWorks at once. However, you can export one reference at a time using the method below. This method will work for journal articles, book chapters, and conference papers, but not for full books.

In SpringerLink:
  1. Click on the item you want to export to get the full record.
  2. If the item is a journal article, click on the Cite this article link underneath the article title, then click Download citation.
  3. If the item is a book chapter or conference paper, click on the Cite this chapter link underneath the article title, then click .RIS underneath the ‘Download citation’ heading.
  4. Navigate to the folder on your computer where you want to save the file, then click Save.
Then open RefWorks:
  1. Click the plus symbol (Add) in the banner menu along the top of RefWorks.
  2. Select Import References.
  3. Upload the file you downloaded from SpringerLink, which will be in .ris format.
  4. Under ‘This file will be imported as:’, select RIS Format: RIS Format.
  5. Click Import.
  6. Choose whether to assign to a folder, and click Import.
  7. Click Last Imported in the left-hand panel to see your references.
In Web of Science:
  1. After running a search in Web of Science, select the references you want to import, using the tick box to the left of each required item.
  2. Click Export at the top of the results list.
  3. Select RIS (other reference software).
  4. In the ‘Export Records to RIS File’ window, choose whether you want to export the abstract.
  5. Click Export at the bottom of the window.
  6. Navigate to the folder on your computer where you want to save the file, then click Save.
Then open RefWorks:
  1. Click the plus symbol (Add) in the banner menu along the top of RefWorks.
  2. Select Import References.
  3. Upload the file you downloaded from Web of Science, which will be in .ris format.
  4. Under ‘This file will be imported as:’, select RIS Format: RIS Format.
  5. Click Import.
  6. Choose whether to assign to a folder, and click Import.
  7. Click Last Imported in the left-hand panel to see your references.

Which databases are hosted in which platforms?

If you are not sure whether a database is hosted through EBSCOhost, ProQuest, or its own platform, you can find the name of the database in the alphabetical list below. If a database is hosted in EBSCOhost or ProQuest, you can follow the instructions for EBSCOhost or ProQuest. For databases hosted on their own platform, the instructions for exporting to RefWorks will be listed in the Instructions List box above, under the name of the specific database.
