Steps for proofreading

Take a systematic approach to reviewing what you have written, to identify and correct errors before it is shared for distribution, publication, or marking.

Here are some key steps for effective proofreading:

  1. Pause
    After completing your writing, set the document aside for a while to gain a fresh perspective. This allows you to return with fresh eyes, making it easier to spot errors.
  2. Change the view
    Viewing your work at a different width or zoom, or using a printed copy, can help you notice mistakes otherwise overlooked. You can mark corrections onto a printout or use review tools in software.  
  3. Read aloud
    Reading the text out loud or via technology can help you catch awkward phrasing and assess errors in the flow and rhythm of the writing that may not be apparent when reading silently.
  4. Systematic searching
    Create a checklist of your frequent errors, such as spelling mistakes, punctuation errors, and formatting inconsistencies. Use technology to search for these in your document.
  5. Focus on one line at a time
    Whilst reading one line, cover the lines below with a ruler or piece of paper, to focus and avoid skim reading. Or read each sentence one at a time in reverse order, beginning with the last sentence of your work! 
  6. Check formatting
    Pay attention to the overall layout, including margins, font consistency, page numbers, and headings, and make sure that the document adheres to any specific style guides given in your assignment brief.
  7. Final review
    Conduct a last check to ensure that all corrections have been made and that the document is polished and ready for submission or publication.
