How can I change my name in my Elements profile?

Your name in your Elements profile is imported from your Human Resources record.

You can change your name in Elements to your preferred name.

  • In Elements, click on 'Account' in the main Elements menu on the left (the miniature version of your profile photo) and then choose 'Account settings' in the menu that opens.  Alternatively if you click on the 'EDIT MY PROFILE' link in the profile tile on the right to see your profile in Edit mode, you can click on the 'account settings page' link which appears under your name on your profile.
  • On the 'Account settings' page, scroll down to the 'Preferred names' section.
  • Enter your preferred first or last name.
  • Click on the 'Update preferred names' button to save your change(s).

How can I change my title in my Elements profile?

Your title (Miss, Mr, Mrs, Dr, etc.) is imported from your Human Resources record and cannot be changed directly in Elements. To change your title, you will need to contact the HR Admin team and ask them to change your title in your HR record. Once your title has been changed in your HR record, this will also change it in your Elements profile, but it may take until the next day after the HR record change.

You can instead choose to hide your title in your Elements and your external staff profile by using the 'Hide title' option on the account settings page.

  • Toggle the button so that it is ticked.
  • Click on the 'Update if title is hidden' button.

How can I change my name in my Elements search settings?

Elements finds and suggests scholarly and creative works that could be yours by looking for your name and affiliation. 

You can check the details that Elements is using in these searches and add different versions of your name or amend the details to help this process be more effective.

How can I change my name in my scholarly & creative works on Elements?

Your name in the records about your scholarly & creative works on Elements and SHURA can usually be changed. However, it is not possible for you to do this yourself.  Please contact elements@shu.ac.uk and we can do this for you.

Changes to your name in your scholarly & creative works in Elements will also change how your name appears in your publication details on your external staff profile.

If you want to change how your name appears in the publications themselves, many publishers recognise the importance of having a name change policy enabling authors to change their name on their published articles and other outputs. Check out your publisher’s guidance on this.

Which version of my manuscript should I deposit on Elements?

For journal articles and conference papers, it is the author accepted manuscript (or post-print) which should be uploaded to Elements.  This is the version of the article including all changes resulting from peer review as well as any changes of an academic nature requested by the journal editor or conference organiser.  You cannot usually use the copy-edited, typeset, or published paper,  known as the ‘proof’ or ‘version of record'.

I get an error message when I try to deposit a manuscript on Elements

Elements will not accept the deposit of files which have an apostrophe in the name. 

If your file name has an apostrophe, please change the file name and then retry depositing the file.

How do I change the order of my publications on my external staff profile?

On your external staff profile the default order of publications is your featured claimed publications first (if you have any), followed by all your other claimed publications in date order.

If you want a publication to appear at the top of the list and it is not the most recent publication, you can make it a 'featured' publication. This is done in Elements in your list of claimed Scholarly & creative works using the 'Favourite' icon (heart) next to the publication title.

The public can change the order that they view your publications by changing the 'sort' option at the top of the publications list.  The options that are available to sort by are: date (newest first), date (oldest first), title (A-Z), title (Z-A) or by type.  The public can also turn off the option to see 'featured first'.

How do I add publications to my external staff profile?

On your external staff profile, the publications which display are those in you list of claimed scholarly & creative works on Elements. 

If there is a publication missing, you need to deposit or claim it on Elements.

How do stop publications displaying on my external staff profile?

On your external staff the publications which display are those in you list of claimed scholarly & creative works on Elements. 

If you do not want one of your claimed scholarly & creative works to be displayed on your external staff profile, you can change your relationship privacy with the work to internal or private.

Please note that it will still be possible for the publication to be found by other users of Elements, displayed on the external profiles of co-authors, on SHURA if a manuscript has been deposited and may still write to your ORCID profile, depending on your ORCID setting in Elements.

If the work that you do not want to appear on profile is not yours, you can reject it from you claimed list. Please see this guidance on Claiming and rejecting works on Elements.

Elements is suggesting/claiming scholarly & creative works which aren't mine

Elements finds and either adds or suggests scholarly and creative works that are yours or could be yours.  This is usually helpful as it means that you do not need to type the details into Elements. 

If Elements is not identifying your works for you or if it is identifying or suggesting works that are not yours, then it is worth spending a few minutes configuring Elements to do this as effectively as possible.

How do I add a grant to my CV?

Grants that are on Elements will appear on your CV generated using Elements.  If a grant that you would like to appear on your CV is not on Elements, you can export your CV from Elements as a Word document and add the additional grant using Word.

How do I meet the REF Open Access requirements?

The REF open access requirements apply to articles published in journals or conference proceedings with an ISSN.

These must be deposited in SHURA within three months of the date of acceptance. You do this by uploading the author accepted manuscript into Elements.

I am a doctoral student, why can't I login to Elements?

All postgraduate research students should automatically have a login to Elements.

If you have a staff and a student University account, it will usually be your student login that you need to use to login to Elements. If you are already logged into other systems using your staff account, you may need to use a different browser or an incognito window to login to Elements

I am a doctoral student / professional services staff why is elements not synchronising with my ORCID profile?

You may have set up Elements to link with ORCID and to update your ORCID profile with your scholarly and creative works that are on Elements.

If you are a Postgraduate research (doctoral) student or a member of professional service staff and your staff profile is set to 'internal' you will find that your OCID profile no longer updates when you update your works on Elements.  This is because the privacy settings for your publications will also be internal.

There are two ways to resolve this.  The first is to change your ORCID settings to include the option to 'Send all publications to ORCID including those with privacy levels of private or internal”.  See this Linking Elements to your ORCID for how to change your ORCID settings.

The other option is to populate your staff profile and make it public.  Once your profile is public, your scholarly & creative works will automatically change to public too, unless you specify otherwise. See this information about editing your staff profile for how to do this.
