Legacy RefWorks upgrade to ProQuest RefWorks

I have received an email saying my account has been upgraded and now I can't see all my references.

Where were the references before the upgrade? 

Look at the table below to check which versions of RefWorks you have worked with and then follow one of the options below the table.

ProQuest RefWorks is not changing.   If you do not have a Legacy RefWorks account your access will not be affected.

The upgrade from Legacy RefWorks will create a new Project in ProQuest RefWorks.   Projects are like seperate accounts so you don't see all your references in the same Project.  Everyone starts with a default "Untitled Project" in ProQuest Refworks and many users never need to create another project.

1) Check Projects for your references

When you follow a link from your email upgrade notification it will take you to an Admin created project with only your Legacy RefWorks references.  To get back to your recent work you can switch between Projects in the top left of ProQuest RefWorks.

ProQuest RefWorks will default to the last Project you viewed so you should not have to switch Projects every time you use ProQuest RefWorks. 

2) Check if you have another ProQuest RefWorks account

If you still do not see recent references this probably means that the email associated with your Legacy RefWorks account is different from the email you have previously used with ProQuest RefWorks.  The upgrade will have created a new ProQuest RefWorks account for that email. 

  1. In ProQuest RefWorks click on your name to see which email you are logged in with.
  2. Log out of ProQuest RefWorks. 
  3. Log into ProQuest RefWorks using a different email address.
  4. Check Projects for your references, 

The email address may be different because it uses one of the alternative formats for Hallam emails or because you have added a personal email address to your ProQuest RefWorks account.

The upgrade from Legacy RefWorks will create a new Project in ProQuest RefWorks.   Projects are like seperate accounts so you don't see all your references in the same Project.  Everyone starts with a default "Untitled Project" in ProQuest Refworks and many users never need to create another project.

If you had multiple Legacy RefWorks accounts it may be that the references you are looking for are in a different Project.

2) Check if you have another ProQuest RefWorks account

If you still do not see references from your Legacy account this probably means either:

  • That the email associated with your Legacy RefWorks account is different from an email you have previously used with ProQuest RefWorks.
  • Or that you have more than one legacy RefWorks account with different email address.

When email address do not match the upgrade will create a ProQuest Refworks account for each email.  This will happen when the emails are different even if they go to the same email account. 

Up till June 30 2023 you can still log into your legacy account to see what email address is associated with that account and then use that to log into ProQuest RefWorks.  The email address may be different because it uses one of the alternative formats for Hallam emails or because you have added a personal email address to a RefWorks account.

What are Projects in ProQuest RefWorks?

In ProQuest RefWorks you have the option to create separate Projects for your work.  Projects are like separate accounts and are useful for when you need to collaborate with other people.   You can give permission for other people to access and edit a Project without them seeing other resources in your ProQuest RefWorks account. 

You do not need to create new Projects for different pieces of your own work.  When you create a ProQuest RefWorks account your work is in an Untitled Project and for many users this is all that is needed. 

Key points on working with Projects: 

  • After the upgrade process you are likely to have more than one Project in ProQuest RefWorks. 
  • The first time you use ProQuest RefWorks after the upgrade you may need to switch between Projects to find the references you want.
  • When you login to RefWorks it will usually go to the last Project you looked at, so you should not need to switch projects every time. 
  • When you export references from Library Search or a journal database check which Project they will be added to. 
  • If you use a RefWorks Add-in for Word check which project is active:  You cannot mix references from different Projects in a single document.
